Understand customer needs and provide accurate information following procedures and guidelines. Resolve customer inquiries and escalate complex cases when necessary. Complete tasks such as case follow-up, data entry, and request processing. Follow company policies, quality standards, and data protection rules. REQUIREMENTS Native or bilingual Dutch speaker. Role & purpose of the position To provide efficient and courteous customer care to existing and potential customers based in the Nordic Region (Finland/Sweden). To provide the required office support for sales and support personnel Handling general enquiries from customers, sales Duties & responsibilities Manage the sales order process through to billing using SAP status reports, ensuring that corporate guidelines on the method of shipment are adhered to. Ensure that sales orders are processed within agreed deadlines and that customers and the sales team are informed of delivery dates and any subsequent changes. Liaise with Sales and Technical Support to ensure that all deliveries are carried out in line with customer expectations. Liaise with Purchasing, Warehouse, Sales and Support to ensure timely dispatch of orders. Ensure that quotations are raised by the sales team for any order to be processed. Assist with the prompt resolution of customer queries and credit notes to aid the cash collection process. Ensure that all Sales Representatives and/or customers receive a confirmation of order and that all details are checked to minimise errors in invoicing. Assist with customer complaints and warranty issues to ensure customer satisfaction. Ensure that subscriptions are invoiced timely and efficiently. Ensure that all issued information, whether written or verbal, is both accurate and authorised. Ensure that all work is carried out in accordance with the company's quality system. Maintain a comprehensive filing system in SAP. Archiving and disposal of aged records in accordance with company policy. Other duties as may be required by the Team Leader or Operations Manager Education/ Qualifications/ Experience Ability to build and maintain relationships with key customers. Experienced in using SD, MM and Supply Chain SAP modules (R/3 or HANA). Excellent communication skills, both verbal and written. Excellent PC skills including MS Office suite. Confidence to work on own initiative. Organised and thorough with strong attention to detail. Ability to work under pressure and meet deadlines. Adaptable to meet the dynamic and changing needs of the business. Language requirements Finnish (fluent written and verbal) is a prerequisite. This role will support ongoing changes related to bank account transitions, customer payment management, and administrative financial processes. Reporting into the Collections manager you'll play a key role in providing administrative support to the collections team. What you will do Collections & Payment Management -Support the Collections team with daily administrative activities related to customer accounts. -Manage and monitor incoming payments following recent bank account changes. -Investigate and resolve payment discrepancies linked to multiple bank account transitions. -Ensure accurate allocation of customer payments across legacy and current bank accounts. Bank Account Transition Support -Assist in managing the operational impact of multiple bank account changes communicated to customers. -Coordinate updates in internal systems to reflect correct banking details. -Respond to customer queries regarding payment instructions and account changes. -Work closely with internal stakeholders to ensure clear communication and proper implementation of new payment processes.
